HealthWorks Program Coordinator – La Cienega

Program Description:
HealthWorks programs provide opportunity to individuals with barriers to employment to embark upon a career in a high growth/high demand business sector. HealthWorks programs all include technical training, case management, job placement support and job retention support.

Job Description and Duties:
The primary responsibility of the Program Coordinator is to achieve outcomes related to:

  • Administering and coordinating the program
  • Supporting participants enrolled in the programs
  • Participant program completion rate
  • Participant placement rate
  • Participant job retention rate

Outcomes will be achieved by way of:
Program Coordination:

  • Coordinate the day-to-day operations (under the HealthWorks Program Manager), of assigned HealthWorks Programs
  • Perform case coordination duties for HealthWorks program participants
  • Provide information and guidance to participants in a variety of areas, including the application and enrollment processes, class procedures, licensing procurement, on-the-job training, etc.
  • Coordinate provision of other leveraged resources and external services required by student to support continued participation
  • Confirm student eligibility for and/or make referrals, under guidance of program manager, to other programs and resource partners
  • Make set-up of classrooms tailored for various HealthWorks activities and training
  • Schedule and reserve rooms, confirm reservations/RSVP lists or other pertinent arrangements for assessments, graduations, etc.
  • Coordinate with event presenters and others involved
  • Aid in the coordination of informational meetings, assessments, program materials, and classroom readiness
  • Assist in the coordination of external/contract trainers
  • Help with the delivery of soft skills, mock interviews, job readiness and related workshops
  • Assist in the coordination of graduation/job fair events
  • Perform related duties as assigned

Outreach and Recruiting:

  • Assist in distributing marketing and other materials, including flyers and supporting program promotional materials
  • Respond to follow-up requests for information
  • Coordinate and/or perform orientation activities
  • Coordinate with the HealthWorks Manager and other program administrators regarding the gathering of data about candidates and following up with qualified applicants, including acceptance and rejection notifications
  • Participate in administration of applicant assessments/testing and support to the screening process that complements the primary role of program managers.
  • In collaboration with intake specialists and program managers, collects class rosters, attendance, drop sheet and graduation information and checks accuracy and completeness of information
  • Support alumni outreach initiatives as directed
  • Represent HealthWorks program and attend and participate in outreach events and meetings
  • Assist with content gathering for social media marketing plan

Reporting and Monitoring:

  • Assist in supporting program staff to evaluate program plans, operational procedures, activities, and during the budget setting process as required
  • Research and track program expenditures
  • Prepare and monitor cohort schedules to ensure compliance with program requirements
  • Support tracking of participant employment status and wage increases following placement to ensure milestones are captured over a 30, 90, 180, and 360 day period
  • Collect, evaluate and interpret appropriate and applicable data, either in statistical or narrative form
  • Process, complete and/or submit all required paperwork, within scope of authority and expertise
  • Assist and track Pfaffinger foundation, WLN, and other like programs’ application process
  • Prepare clear, concise and comprehensive reports, correspondence and other documents
  • Use Salesforce when applicable for marketing, monitoring, and administrative work (e.g. entering case notes on participants, capturing contact information on stakeholders, etc.)

Administrative:

  • Maintain electronic and paper files in an audit-ready fashion
  • Prepare program materials associated with various HealthWorks initiatives
  • Ensure 100% compliance with California Employment Training Panel data entry, billing requirements, and filing
  • Collect, monitor, and maintain all intake documents and compliance for HealthWorks program. Correct any compliance exceptions prior to candidates’ acceptance to the program
  • Coordinate, track and send necessary participant documents with partners for compliance to MOUs
  • Prepare, complete, and track daily classroom attendance, homework, etiquette, and other pertinent compliance infringements
  • Properly process external/contract trainer invoices
  • Perform administrative duties to ensure student and program reports, records and other materials are complete and maintained according to pertinent regulations and contracts and HealthWorks policies and procedures
  • Keeps thorough case notes on program students and compile information for and maintain program reports, forms and logs
  • Prepare certificates for HealthWorks students
  • Prepare graduation materials

Qualifications and Position Requirements:

Physical Requirements/Working Conditions:
Must be able to operate standard office equipment; will work in business, classroom and other various settings; frequently stands, walks, sits and climbs in performing duties in the office and at offsite locations; required to talk or hear, both in person and by telephone, and use hands to finder, handle and feel computers and standard office equipment; Frequently lifts and carries up to 5lbs, occasionally up to 25lbs; must have reliable transportation for conveyance to locations around greater Los Angeles; may be required to work some evenings and an occasional weekend day.

Education/Certification/Licensure:
Preferred: Associates Degree in social work, education, psychology, or a related field or equivalent work experience. Three years of progressively responsible work experience in employment and training programs or other advising services, or outreach and recruitment. At least one year of which involved in responsibilities for program planning and implementation, or an equivalent combination of training and experience. A valid California driver’s license.
