Program Description:

JVS Works® non-healthcare programs – including BankWorks$ and ApartmentWorks®, provide opportunity to individuals with barriers to employment to embark upon a career in a high growth/high demand business sector. JVSWorks® non-healthcare programs all include technical training, case management, job placement support and job retention support.

Job Description and Duties:

The primary responsibility of the JVSWorks® Non-Healthcare Programs Coordinator is to achieve outcomes related to:

  • Administering and coordinating the programs
  • Supporting the program’s professional staff
  • Number of participants enrolled in the programs
  • Supporting participants enrolled in the programs
  • Participant program completion, placement and job retention rate
  • Coordinate the day-to-day operations of JVSWorks® non-healthcare programs
  • Perform case coordination duties for JVSWorks® non-healthcare programs participants
  • Provide information and guidance to participants in a variety of areas, including the application and enrollment processes, class procedures, etc.
  • Coordinate provision of other leveraged resources and external services required by students to support continued participation.
  • Confirm student eligibility for and/or make referrals, under guidance of program manager, to other programs and resource partners.
  • Set-up classrooms for JVSWorks® non-healthcare programs activities and training
  • Schedule and reserve rooms, confirm reservations/RSVP list or other pertinent arrangements, graduations, etc.
  • Coordinate with staff at host venues
  • Coordination and participate in informational meetings, assessments, preparation of program materials, and classroom readiness
  • Assist in coordination of external/contract trainers
  • Coordinate graduation/job fair events
  • Perform related duties as assigned

 

Outreach and Recruiting:

  • Assist in distributing marketing and other materials, including flyers and supporting program promotional materials
  • Respond to follow up requests for information
  • Coordinate orientation activities
  • Coordinate with JVSWorks® non health-care programs and recruitment staff regarding the gathering of candidate date and following up with qualified applicants, including acceptance and rejection notifications
  • Participate in administration of applicant assessments/testing and screening processes
  • Collect class rosters, track attendance, drop sheet and graduation information and check accuracy and completeness of information
  • Support alumni outreach initiatives as directed
  • Represent JVSWorks® non health-care programs and attend and participate in outreach events and meetings

 

Reporting and Monitoring:

  • Join JVSWorks® non health-care program staff in the evaluation of program plans, operational procedures, activities, and budget creation process
  • Research and track program expenditures
  • Prepare and monitor cohort schedules to ensure compliance with program requirements
  • Support tracking of participant employment status and wage increases to ensure milestones are captures at 30, 90, 180, and 360 days following placement
  • Collect, evaluate and interpret appropriate and applicable data, either in statistical or narrative form
  • Process, complete and/or submit all required paperwork, within scope of authority and expertise
  • Assist and track Pfaffinger foundation, WLN, and other like program’s application process
  • Prepare timely, clear, concise and comprehensive reports, correspondence and other documents
  • Use Salesforce when applicable for marketing, monitoring, and administrative work (e.g. entering case notes on participants, capturing contact information on stakeholders, etc.)

 

Administrative:

  • Maintain electronic and paper files in an audit ready fashion
  • Prepare program materials associated with JVSWorks® non health-care programs initiatives
  • Ensure 100% compliance with California Employment Training Panel requirements, including roster creation and collection, participant enrollment, data entry, billing requirements and filing
  • Collect, monitor, and maintain all intake documents and compliance for JVSWorks® non-healthcare programs. Correct and compliance exceptions prior to candidate’s acceptance to the program
  • Coordinate, track and send necessary participant documents to partners for compliance with MOUs
  • Prepare, complete and track daily classroom attendance, homework, etiquette, and other pertinent compliance measures
  • Properly process external/contract trainer invoices
  • Perform administrative duties to ensure student and program reports, records and other materials are complete and maintained according to pertinent regulations and contracts and JVSWorks® non health-care programs policies and procedures
  • Capture thorough participant case notes and maintain program reports, forms and logs
  • Prepare completion certificates for JVSWorks® non health-care program graduates
  • Prepare and transmit to employer partners graduation materials, including invitations and recruiters guide; maintain graduation RSVP list

Physical Requirements/Working Conditions:

Must be able to operate standard office equipment; will work in business, classroom and other various settings; frequently stands, walks and sits in performing duties in the office and at offsite locations; required to talk or hear both in person and  by telephone and use hands to find handle and feel computers and standard office equipment; frequently lifts and carries up to 5 lbs. occasionally up to 25 lbs.; must have reliable transportation for conveyance to locations around greater Los Angeles; may be requited to work some evenings and occasional weekends. This position is part of a collective bargaining agreement.

Education/Certification/Licensure:

Preferred: Associates Degree in social work, education, psychology or a related field or equivalent work experience. Three years of progressively responsible work experience in employment and training programs, other advising services, or reach and recruitment. At least once year of which is involved in responsibilities for program planning and implementation, or an equivalent combination of training and experience. A valid California’s Driver License.
